Quotes and invoices

Build a quote and send it as a link the customer can sign and pay, and the invoice is issued for you.

Quotes live in the "Quotes" tab of Sales, and a quote can be linked to a deal so it shows on the deal's page.

Creating and sending a quote

  1. Press "New quote" and choose the contact or company and the currency.
  2. Press "Add line" for each product or service: description, quantity, unit price, "Discount %" and "Tax %".
  3. Set "Valid until", turn on "Requires signature" or "Requires payment" as needed, and optionally set a "Deposit %".
  4. Save, then "Send via WhatsApp" or "Send by email", or use "Copy quote link" to share it yourself.

What the customer sees

The customer opens the quote page without logging in, reviews the lines, then chooses "Accept quote" or "Decline quote". If a signature is required they sign under "Sign here"; if payment is required they pay the deposit or the full amount, and the remaining balance later. The quote shows you when the customer viewed it and who signed it.

Invoices

  • Every online payment on a quote issues an invoice automatically, and "Download invoice" appears on the quote itself.
  • If the customer paid outside the platform (bank transfer or cash), use "Convert to invoice (manual payment)": the remaining amount is recorded as paid and the invoice is issued. This cannot be undone.
  • Everything you issued is under "Sales invoices" in Settings > Billing & payouts > Invoices.
  • Once the customer has agreed, the quote can no longer be edited; use "Duplicate" to prepare a revised version.

For online payment, activate a payment gateway first under "Receive payments" in billing settings. For a tax invoice with the ZATCA QR, complete "Seller details on your invoices" (legal name, VAT number, address); without them only a receipt is issued.
